Abbreviations and Shortcuts

Special Characters

? or *  A '?' in a taxa name, or other field, will match any character on a search Query and a 'star' or 'asterisk' ('*') character matches any string of characters.
In the 'Data Entry: New Record', 'Site' field a '?' followed by a four-figure grid reference will list all Sites within that 10km grid square when 'Enter' is pressed.
~ Type a '~' character before the species name to bypass your Defaults and search the whole 'My Taxa' Checklist in the 'Data Entry', 'Taxon' field.
! '!' Before another character or some text in the 'Quantity' field can be used to enter comments into a locked 'Comments' field. After the quantity value type a '!' followed by the text that you want to appear in the 'Comments' field. This text will be inserted before any text already in the locked 'Comments' field, which reverts to its original value for the next record.
There are some pre-defined abbreviations !v = Voucher retained, !p = Photograph taken, !e = Quantity estimated, !n = No quantity recorded, !g = Genitalia examined, !d = Confirmed by dissection, !y = First record of the year. The '!' character can also be used to enter a comment into a new Site generated from the 'Data Entry' form shortcut using the '@' character.
@ The 'at' or 'whirlpool' character can be used in the 'Data Entry: New Record' 'Site' field to cause a new Site entry to be created directly in the Site table using a Site name separated from its Grid Reference by the @ character and, optionally, a comment separated by a '!' character (sitename@Gridref!comment) click here
: The 'colon' character can be used in the 'Data Entry: New Record' 'Quantity' field as a separator between the number of individuals of each sex (e.g. 2m:3f to signify two males and three females), this will generate a record for two males and another for three females with identical values in the other fields.
This character is also the separator between the hours and minutes in the Start and End time fields of the 'Data Entry: New Event' form.
= An 'equals' sign before a Taxon name signified that it is a Synonym (replaced by a later Scientific Name).
- A 'hyphen' or 'minus' ('-') character is used to separate the first and last date where the record spans a range of dates (e.g. 01/04/1999-02/04/1999 for First to Second of April 1999). If you are importing records from a text file into MapMate (or the 'Recorder' programs) a '-' can only be used between two dates and cannot be used to separate days, months and years. If you are entering records from the 'Data Entry' form you can use the word "to" between the first and second date instead of '-' (click here).
